What Your Clients Are Actually Thinking When They Don’t Hear From You

You know where their file is at. You’ve got it under control. Things are progressing exactly the way they should, and the silence from your end isn’t silence at all, it’s just that you’ve been managing four other active files simultaneously and the update email got pushed.


Your client doesn’t know any of that.


What they know is that they haven’t heard from their conveyancer in eight days, they’re in the middle of the most significant financial transaction of their life, and nothing about this process is within their control or fully within their understanding.


So they do what anxious people do. They fill in the silence with their own explanations. And those explanations are almost never “everything is fine, my conveyancer is just busy.”


What the silence actually sounds like from their side


Day three of not hearing anything: mild unease. They tell themselves you’ll be in touch soon.


Day five: they mention to their partner that they haven’t heard from the conveyancer. Their partner asks if they should call.


Day seven: they draft a message in their head asking if everything is okay. They send it or they don’t, depending on their personality, but either way the question is there.


Day nine or ten: they ring. Voice slightly tight. “Just checking in, haven’t heard anything for a while and wanted to make sure things are still on track.”


You pick up, pull their file, reassure them that everything is progressing well, apologise for not being in touch sooner, make a mental note to be better about this.


And then the same cycle repeats three files later because nothing about the underlying situation has changed.


Why updates keep slipping


It’s not because you don’t care about your clients. Any conveyancer reading this cares, that’s obvious.


It’s because client communication is one of the tasks that feels least urgent in the moment and most urgent in retrospect. When you’re choosing between chasing figures that have a settlement date within the week and sending an update to a client whose file is progressing fine, the settlement figures always wins. Every time. As it should.


The problem is that “progressing fine” files don’t generate their own urgency until the client rings. And by the time the client rings, you’ve already missed the window where a proactive update would have prevented the anxiety in the first place.


What consistent communication actually does for your practice


Clients who are kept informed throughout their transaction don’t just feel better during the process. They have a fundamentally different experience of your practice.


They don’t worry. Not because everything is necessarily going smoothly, sometimes it isn’t, but because they trust that if something needed their attention, you’d have told them. That trust is built through consistent contact, not through a single reassuring phone call when they’ve already worked themselves up.


They refer people. Not all of them, but the ones who felt genuinely looked after throughout a stressful process are significantly more likely to mention your name when someone they know needs a conveyancer. The client who had to chase you for updates probably won’t.


They don’t take up your time unnecessarily. A client who gets a brief update twice a week doesn’t need to ring you to find out if things are okay. That’s phone call time that stays in your billable column.


The fix isn’t trying harder


If the solution were just being more disciplined about sending updates, you’d have already fixed this. You’ve made the mental note to be better about it more than once.


The real fix is having someone whose actual job includes making sure client communication happens consistently, across all your active files, without it competing for priority with everything else on your plate.
